What to Expect from a Corporate Team Headshot Session

Most people who reach out to me about a corporate team headshot session are not photographers. They are HR managers, executive assistants and marketing coordinators who have been handed a project and want to get it right without making it harder than it needs to be.

This post is for them.

Why Team Headshots Matter More Than You Might Think

Your team's headshots are already out there. On your company website, your LinkedIn pages and your press materials.

When those images are inconsistent — different backgrounds, different lighting, different quality levels — it sends a quiet signal that your organization is not paying attention to the details. That signal reaches clients, recruits and investors before anyone reads a single word of your content.

A coordinated corporate headshot session solves that. Everyone photographed under the same conditions, with the same lighting, the same background and the same level of professional direction. The result is a library of images that holds up in every context where your organization needs to look its best.

Before the Session

The work that happens before a corporate team headshot session is what makes the day run smoothly.

We start with a planning conversation. I want to know where these images will be used, how many people we are photographing and whether the session will be held at my private studio in downtown Pleasanton or on location at your office. For groups of ten or more, I typically recommend an on-location session so your team is not spending time commuting.

Once logistics are confirmed, I send a preparation guide directly to your team. It covers what to wear, how to think about their look and what to expect on the day. When your team walks in knowing what is coming, the session moves faster and the images are stronger.

What Happens on the Day

Each person typically spends between fifteen and twenty minutes in front of the camera. That is enough time to capture several looks without rushing anyone or creating a backlog.

I direct every session. That means I am not waiting for people to figure out what to do with their hands or how to hold their face. I guide them through it. After 26 years of photographing professionals, I know how to read a person quickly and bring out a version of them that is natural, confident and authoritative. Most people are surprised by how comfortable the process feels.

For larger groups, I work from a coordinated schedule so there is no standing around and no confusion about who is up next. Your team's time is respected.

What Your Team Will Receive

After the session, each team member receives a private online gallery with their edited images. They choose their favorites for final delivery.

Final images are delivered as high-resolution files ready for web, print and LinkedIn. If your organization needs a specific format or file size for a website or internal system, let me know in advance and I will make sure everything arrives correctly.

How to Prepare Your Team

A few things make a difference.

Send the preparation guide I provide as early as possible. Ask team members to bring two or three options for tops. What looks polished in person does not always read the same way on camera, and having options means no one gets stuck with an image they are not happy with.

Remind them that professional direction is part of the session. Nobody is expected to know how to pose. That is my job.

The people who walk in the most relaxed almost always leave with the strongest images.

Frequently Asked Questions

How long does a corporate team headshot session take?

It depends on the size of the group. Larger groups photographed on location are scheduled based on headcount and the structure of your team's day.

Where do corporate headshot sessions take place?

Smaller groups are photographed at my private studio in downtown Pleasanton at 4725 1st Street, Suite 210. For teams of ten or more, I come to your office. I work throughout the Tri-Valley including San Ramon, Danville, Dublin and Livermore and into the broader East Bay.

Pricing is based on group size, session length and whether the session is held in-studio or on location. I put together a custom quote for every corporate inquiry. Request yours here.

When will the images be ready?

Turnaround is typically seven to ten business days from the date of the session.

Do we need to provide anything for the session?

No. I bring everything needed to produce consistent, professional images. If your office has a specific space you would like to use as a backdrop, let me know in advance and I will assess it during our planning conversation.
